# Collecting Payment for Enrollments
Source: https://help.trypawgress.com/guides/billing/collect-payment
Payment links are emailed automatically when you enroll a client — plus how to resend, record manual payments, and issue refunds
## Overview
When you enroll a client in a training package, Pawgress emails them a secure Stripe payment link **automatically**. You don't need to generate or send anything.
When they pay, the enrollment updates itself, your client gets a confirmation email, and you get a notification.
**Prerequisites**
For the automatic payment email to go out, you need:
* [A connected Stripe account](/guides/integration/connect-stripe) with **charges enabled**
* A Pawgress Pro subscription
* A package with a price above zero
## The Automatic Payment Email
### What happens when you enroll a client
The moment you [create an enrollment](/guides/getting-started/enroll-client), Pawgress:
1. Creates a Stripe checkout session for the enrollment amount
2. Emails your client a **"Your training package is ready"** message containing the payment link
3. Leaves the enrollment as **Unpaid** until they complete checkout
The email is sent from your business (with your [branding](/guides/getting-started/setup-profile#branding), if you've set it up) and replies go to your email address, not ours.
### Adding a personal message
The enrollment dialog includes an optional **Message to client** field, up to 500 characters. Whatever you write is included in the payment email.
The dialog tells you exactly what will happen — *"We'll email \[client] the payment link with your note."*
**Use the note, it converts**
A one-line personal message — "Excited to get started with Bella! Once this is sorted we can book your first session." — reads as a human sending an invoice rather than an automated billing system. It's the difference between a link that gets paid today and one that sits in an inbox.
### When the email is not sent
Three cases where no payment link goes out:
| Situation | What happens instead |
| - | - |
| **No Stripe connected** (or charges not enabled) | Nothing is emailed at enrollment. Collect payment your own way and use **Mark as Paid**. |
| **Free package** (price of zero) | The enrollment is marked **paid** immediately and your client gets the *"package confirmed"* email instead. |
| **Stripe or email hiccup** | The enrollment still succeeds. Use **Resend Payment Email** to try again. |
A failed email can never fail an enrollment that was already created. If something goes wrong on Stripe's or Resend's end, your enrollment is safe and you can resend.
## Resending the Payment Email
If your client loses the email or the link has expired, resending is one click.
### How to resend
1. From **Clients**, open the client and click **View Details** on the enrollment
2. Click **Resend Payment Email**
Pawgress reuses the existing checkout link if it's still valid, and mints a fresh one if it has expired — so you never have to think about link expiry. Your original personal message is included again.
**Link expiry**
Stripe checkout links expire after 24 hours. Resending after that point automatically generates a new one, so there's nothing to clean up.
### Copying the link instead
Prefer to send the link yourself over text or WhatsApp? Click **Copy Pay Link** to put the checkout URL on your clipboard, then paste it wherever you like.
**Resending is blocked once paid.** If the enrollment is already paid, the resend action returns an error rather than charging your client twice.
## What Your Client Sees
Your client opens the link in any browser and pays by credit or debit card — no Stripe account needed on their end. After paying they're redirected to a confirmation page.
Funds go directly into your Stripe account, minus any applicable platform fee.
## Payment Confirmation
### Automatic status update
As soon as payment is confirmed, Pawgress updates the enrollment:
* **Payment status** changes to **Paid**
* **Enrollment status** stays **Active**
* The payment date and Stripe transaction ID are recorded
### Your client gets a confirmation email
Once the enrollment is paid, your client receives a **"package confirmed"** email — a prompt that their sessions are ready to book.
This goes out regardless of how the enrollment was paid, including manual payments, because it isn't a receipt. Stripe sends its own receipt separately for card payments.
### You get a notification
You receive an email when a client pays, with their name, the package, the amount, and a link to the enrollment.
**Notification Settings**
Turn payment notifications on or off under **Notifications** on your [profile page](/guides/getting-started/setup-profile#notifications). They're on by default.
## Tracking Payment Status
Each enrollment shows a payment status badge:
* **Unpaid** — payment hasn't been collected yet
* **Paid** — received via Stripe or recorded manually
* **Failed** — the client's payment attempt was declined
* **Refunded** — a refund was issued for this enrollment
## Recording Manual Payments
If a client pays by cash, e-transfer, or any other method outside Stripe, record it manually.
### Mark as paid
1. Open the enrollment details page
2. Click **Mark as Paid Manually** (or **Mark as Paid** if you haven't connected Stripe)
3. Confirm
The enrollment is set to **Paid**, with the method recorded as **Manual** and today's date as the payment date. Your client still receives the "package confirmed" email.
Manual payments move no money through Stripe — they record that payment was received. Revenue from manual payments is still counted in your revenue figures.
### Revert to unpaid
To reverse a manual payment — a bounced cheque, say:
1. Open the enrollment details page
2. Click **Revert to Unpaid**
3. Confirm
This is available for manually recorded payments only. Stripe payments must be reversed with a refund instead.
## Issuing Refunds
Refunds for Stripe payments are handled inside Pawgress — no need to log in to your Stripe dashboard.
### How to issue a refund
1. Open the enrollment details page for the paid enrollment
2. Click **Cancel Enrollment**
3. Choose your refund option:
* **No Refund** — cancel without returning any money
* **Partial Refund** — based on unused sessions, calculated automatically
* **Full Refund** — return the full amount paid
4. Review the amount, adjust if needed, and confirm
**Partial Refund Calculation**
Pawgress suggests an amount based on remaining sessions ÷ total sessions × price paid. You can adjust it before confirming.
### Refund timeline
Stripe processes refunds within 5–10 business days depending on the client's card issuer. The enrollment shows **Refunded** immediately after you confirm.
**Refund Emails**
Stripe automatically emails your client confirming the refund. You don't need to notify them separately, though a personal follow-up is always a nice touch.
## Revenue Tracking
Every Stripe payment, manual payment, and refund feeds your revenue figures. Your **Monthly Revenue** stat and revenue chart are on your [dashboard](/guides/overview/dashboard-overview).
## Troubleshooting
### My client never got the payment email
Check, in order:
1. **Is Stripe connected with charges enabled?** No Stripe means no payment email at enrollment — see [Connect Your Stripe Account](/guides/integration/connect-stripe)
2. **Is the package priced above zero?** Free packages are marked paid immediately and send a confirmation instead
3. **Ask them to check spam** — the email comes from your business name
Then click **Resend Payment Email**.
### The payment link has expired
Just click **Resend Payment Email**. Pawgress mints a fresh link automatically when the old one has expired.
### "Stripe must be connected and charges enabled"
This error on resend means your Stripe account isn't ready to take payments. Check the Integrations page for your **Charges Enabled** status.
### Client says their payment failed
Ask them to try a different card or contact their bank, then resend the payment email — a failed checkout session can't be reused, so a fresh link is generated.
### Refund isn't showing up
Refunds take 5–10 business days to appear on a client's statement. If it hasn't after 10 business days, contact [support@pawgress.ca](mailto:support@pawgress.ca) with the enrollment details.

# Adding Your First Client
Source: https://help.trypawgress.com/guides/getting-started/add-client
Learn how to add and manage client relationships in Pawgress
## Getting Started with Clients
Adding clients to your Pawgress account is the first step to managing your dog training business effectively. This guide will walk you through adding and managing your client relationships in the system.
The Clients page is where you'll manage all your client relationships
## Creating Clients
Before you can add pets and schedule training sessions, you'll need to add clients:
### Step 1: Navigate to the Clients Page
Click **Clients** in the main navigation.
### Step 2: Create a Client
1. Locate the "Add Client" button at the top of the page
2. Enter your client's **email address**, **first name**, and **last name**. You can also add their **phone number** and **location** now, or fill them in later.
3. Click the "Create Client" button
**What Happens Next**
After you create a client:
1. Your client receives an email invitation to join Pawgress
2. They can create their account using the email link
3. They'll appear in your client list
4. You'll then be able to add their pets and schedule training sessions
## Viewing Client Details
To see more information about a client:
1. Click the "View Client" button next to their name in the list
2. This will take you to their client profile page
3. From there, you can view and manage their enrollments and pets
The client details page shows the client's information, their pets and their enrollments
### Searching for Clients
As your client list grows, you can use the search function to find specific clients:
1. Enter a client's name or email in the search box at the top of the client list
2. The list will filter to show only matching clients
3. Clear the search box to see your full client list again
**Client Privacy**
Pawgress takes client privacy seriously. When clients connect with you:
* You'll only have access to the information they choose to share
* Their pet data is secure and only visible to you and them
* The system maintains appropriate boundaries between trainers and clients
## Bulk Import and Export
If you're moving to Pawgress from another system — or a spreadsheet — you don't have to add clients one at a time. The Clients page includes bulk import and export.
**Pro Feature**
Bulk client import and export requires a Pawgress Pro subscription.
### Importing clients
1. On the **Clients** page, open the import and export controls
2. Download the template so your columns match what Pawgress expects
3. Fill it in with your existing client list
4. Upload the file
Imports run in the background. Pawgress shows live progress — how many succeeded, how many failed, and an estimate of the time remaining — so you can carry on working while it runs. If any rows fail, you can download the error report to see which and why.
### Exporting clients
Export produces a file of your client list, useful for backups, mail-merge, or moving data into another tool. Exports also run in the background and are downloadable when complete.
Import is occasionally paused for maintenance. When that happens the page shows an **Import Unavailable** notice — export is unaffected.
## Next Steps
Once your client has accepted your invitation and appears in your client list, you can:
* [Send them your intake forms and waivers](/guides/getting-started/client-forms)
* [Create training packages](/guides/getting-started/create-package) to offer to your clients
* [Schedule training sessions](/guides/scheduling/schedule-session)
* [Create training reports](/guides/getting-started/training-reports) to track and document training progress
Remember, building your client list is the foundation of organizing your dog training business in Pawgress. Start by inviting your existing clients and then add new ones as your business grows.
# Client Forms & Intake
Source: https://help.trypawgress.com/guides/getting-started/client-forms
Send waivers, intake forms, agreements, and surveys to clients, and manage every response in one place
## Overview
Forms are how you collect the paperwork side of training: liability waivers, intake questionnaires, training agreements, and post-program surveys. You build a form from a template (or from scratch), send it to a client by email, and the completed response lands back in Pawgress.
**Included on every plan**
Client forms and intake are available on both Basic and Pro — no subscription required.
## Finding Forms
Click **Forms** in the main navigation. It opens a menu with three sections:
* **My Forms** — the forms you've created, ready to send
* **Submissions** — every form you've sent and its status
* **Templates** — the template library you build new forms from
## Creating a Form from a Template
### Step 1: Browse the template library
Open **Forms → Templates**. Templates are grouped into four categories:
| Category | Typical use |
| - | - |
| **Waivers** | Liability releases, injury waivers |
| **Intake** | New client and new dog questionnaires |
| **Agreements** | Training contracts, cancellation policies |
| **Surveys** | Post-program feedback, satisfaction checks |
Use the category filter to narrow the list, and **Load more** to see additional templates.
### Step 2: Fill in the placeholders
Templates contain placeholders — your business name, your cancellation window, and similar details that appear throughout the document. When you pick a template, Pawgress asks you to fill these in once, then substitutes them everywhere in the form.
Some placeholders auto-populate from Pawgress data, such as the client's name, the dog's name, and your trainer name.
### Step 3: Name and create
Give the form a name you'll recognise later, then create it. The new form appears under **My Forms**.
## Creating a Blank Form
If no template fits, open **Forms → My Forms** and use the create option to start a blank form. Give it a name and you'll land in the editor.
## Editing a Form
Open any form to edit it. In the editor you can:
* Rename the form
* Add, edit, and delete questions
* Drag items to reorder them
* Preview the form as your client will see it
Edits are batched — click **Save Changes** to apply them.
Changes to a form don't alter responses that were already submitted. Past submissions keep the version of the form the client actually filled out.
## Sending a Form to a Client
### From the forms list
1. Open **Forms → My Forms**
2. Click the **Send** action on the form you want
3. Choose the recipient — pick an existing client, or enter an email address to send directly to someone who isn't a client yet
4. Optionally select which dog the form is about
5. Send
Your client receives an email with a link to the form. No Pawgress account is needed to fill it in.
### From a client's record
You can also start from the client side, which pre-fills the recipient for you — handy when you're onboarding someone and working through their setup.
### Sharing a form link directly
Every form also has a shareable link you can copy from the editor and paste anywhere — a welcome email, a text message, your website. Responses submitted through a shared link are recorded as **direct** submissions.
## Tracking Submissions
Open **Forms → Submissions** to see everything you've sent. Each row shows the client, the form, its category, and its status:
* **Sent** — the client has been sent the form but hasn't completed it
* **Completed** — the client has submitted their response
Filter and search to find a specific submission, and open any completed one to read the full response.
## What Your Clients See
Clients with a Pawgress account see a **Forms** page in their navigation, split into:
* **Pending Forms** — forms waiting on them, with a button to fill each one out
* **Completed** — forms they've already submitted, with the date they completed them
Clients who aren't on Pawgress simply use the emailed link.
## Tips
**Build your intake pack once**
Most trainers end up with a standard set: a waiver, an intake questionnaire, and a training agreement. Create all three from templates when you set up your account, then sending them to a new client takes seconds.
**Send the survey at the end of a package**
A short survey when an enrollment completes is the easiest way to collect testimonials while the client is still delighted with the results.
## Next Steps
* [Add your first client](/guides/getting-started/add-client) so you have someone to send forms to
* [Create training packages](/guides/getting-started/create-package)
* [Create training reports](/guides/getting-started/training-reports) to document progress
# Creating Training Packages
Source: https://help.trypawgress.com/guides/getting-started/create-package
Learn how to create and manage training packages and free consultations to offer to your clients
## Package Overview
Training packages define your service offerings: what's included, how many sessions, how long each runs, what it costs, and when it can be booked. Clients are enrolled in packages, and sessions are scheduled against them.
The Packages page displays all your available service offerings
**Pro Feature**
Package management requires a Pawgress Pro subscription, which unlocks unlimited packages, public booking, and payment collection.
## Creating Your First Package
### Step 1: Navigate to the Packages Page
Click **Packages** in the main navigation.
### Step 2: Create a New Package
Click **New Package** to open the package form.
Click "New Package" to create a new training package
## Choosing a Package Kind
At the top of the form is the **Free consultation** toggle, which determines what kind of offering you're creating.
### Regular packages
Leave the toggle off for a normal paid package: multiple sessions, a price, and payment collected through Stripe.
### Free consultations
Turn the toggle on for a free consultation — a lead-generation offering for prospects who aren't clients yet. Consultations are automatically:
* **One session** and **free** (price and session count are fixed)
* **Publicly bookable**, with no Pawgress account needed
* **Confirmed immediately** on booking, bypassing Stripe entirely
See [Public Booking Links](/guides/scheduling/public-booking) for how to share one.
## Package Details
### Package Photo
1. Click the photo upload area
2. Select a high-quality image representing the package
3. Keep the image under 2MB
Photos showing trainers working with dogs tend to perform best on public booking pages.
### Basic Information
* **Package Name** — clear and descriptive (e.g. "Puppy Basics — 6 Week Program")
* **Description** — what clients get, the benefits, and who it suits. This is a key factor in purchasing decisions and appears on your public booking page.
### Structure and Pricing
For regular packages:
* **Package Type** — one-on-one or group training
* **Price** — the total cost for the whole package, in your [default currency](/guides/getting-started/setup-profile#booking--billing)
* **Number of Sessions** — how many sessions are included
* **Session Duration** — how long each session runs, in minutes
* **Maximum Participants** — for group packages, the capacity per session
Consultations skip type, price, and session count — they're always one free session — but you still set the duration.
### Location
Where sessions take place. This pre-fills the location on each session you schedule, and can be overridden per session.
### Availability Schedule
Link the package to one of your availability schedules. This determines when sessions under this package can be booked.
**Availability Schedules**
You'll need at least one availability schedule before your package can be booked publicly. See [Setting Up Your Availability](/guides/scheduling/set-availability).
### Session Format
Choose the format sessions under this package default to:
* **In-person**
* **Zoom** — a Zoom meeting is created for every session ([connect Zoom](/guides/integration/zoom))
* **Google Meet** — a Meet link is created for every session ([connect Google](/guides/integration/google-meet))
This saves picking the format on every individual session for a package that's always virtual.
### Google Calendar
Optionally select a Google Calendar. Sessions booked under this package are added to that calendar automatically. See the [Google Calendar guide](/guides/integration/google-calendar).
### Buffer Times
Set buffer time **before** and **after** each session, from 0 to 120 minutes. Buffers block out the surrounding time so clients can't book back-to-back, giving you room for travel, setup, and notes.
**Buffers are how you protect your day**
If you drive to clients, a 30-minute buffer after each session is the difference between a workable schedule and being permanently late. Set them once on the package rather than fixing the fallout session by session.
### Public Scheduling
Control whether clients can book this package themselves through a public link:
* Enable **public scheduling** to make the package bookable via its link
* Optionally set a **booking slug** — a friendly URL fragment like `puppy-training-jan-2025`
Full details in [Public Booking Links](/guides/scheduling/public-booking).
### Active Status
* **On** — the package is visible to clients and available for booking
* **Off** — the package is hidden from clients but still accessible to you
Useful for seasonal offerings or packages you're preparing but aren't ready to sell.
## Saving Your Package
Review the details and click **Create Package**. You're taken to the package details page, where you can edit anything, see the public booking link, and toggle its status.
## Managing Your Packages
On the Packages page, each package card shows its name, price, and session count. Click through to view or edit, and use the status toggle to activate or deactivate quickly.
### Package Strategy Tips
* **Free consultation first** — a short free consultation converts browsers into clients better than any other offering
* **Tiered offerings** — basic, standard, and premium at different price points
* **Specialized packages** — puppy training, behavior modification, reactivity
* **Seasonal offerings** — packages tied to seasons or holidays
**Pro Tip: Package Design**
Well-structured packages increase revenue per client, improve follow-through, reduce scheduling headaches, and create predictable income. It's worth being deliberate about the ladder from free consultation to flagship program.

# Enrolling Clients in Packages
Source: https://help.trypawgress.com/guides/getting-started/enroll-client
Learn how to create and manage client enrollments in training packages
## Understanding Client Enrollments
Enrollments are how you assign training packages to your clients in Pawgress. When you enroll a client in a package, you're creating a commitment that tracks the number of sessions, pricing, and progress for that specific training program. This guide will walk you through creating and managing client enrollments.
**Prerequisites**
Before enrolling a client in a package, make sure you have:
* [Added the client](/guides/getting-started/add-client) to your client list
* [Created at least one training package](/guides/getting-started/create-package)
* A Pro subscription (required for package enrollments)
## Creating a New Enrollment
### Step 1: Navigate to the Client Page
From your Clients page, find the client you want to enroll and click the "View Client" button next to their name. This will take you to their client profile page where you can manage their pets and enrollments.
The client profile page shows their information, pets, and enrollments
### Step 2: Select a Package
Scroll down to the "Create New Enrollment" section on the client page. Here you'll see:
1. A dropdown menu showing all your available training packages
2. Click the dropdown to see the list of packages
3. Select the package you want to enroll the client in
Only active packages that you've created will appear in this list. If you don't see the package you're looking for, make sure it's marked as active in your packages settings.
### Step 3: Review Enrollment Details
After selecting a package, click the "Create Enrollment" button. A confirmation dialog will appear showing you the enrollment details:
* **Package Name:** The training package you selected
* **Client Name:** The client being enrolled
* **Price:** The total cost of the package
* **Sessions:** The number of training sessions included
Take a moment to verify all the details are correct before proceeding.
### Add a message to your client (optional)
If you have [Stripe connected](/guides/integration/connect-stripe), the dialog also shows a **Message to client** field, up to 500 characters.
Pawgress emails your client their payment link the moment the enrollment is created, and whatever you write here is included in that email. The dialog confirms what will happen — *"We'll email \[client] the payment link with your note."*
A short personal line — "Excited to get started with Bella!" — makes the payment email read as a human sending an invoice rather than an automated billing system.
### Step 4: Confirm the Enrollment
If everything looks correct:
1. Click the "Create Enrollment" button in the confirmation dialog
2. The enrollment will be created with an "Active" status
3. A success notification will appear
4. The new enrollment will be added to the client's enrollments list
**What Happens After Enrollment**
Once you create an enrollment:
* The enrollment appears in the "Enrollments" section with an Active status badge
* **Your client is automatically emailed a payment link** (see below)
* You can now schedule training sessions that count against this enrollment
* The system tracks how many sessions have been used vs. remaining
* Both you and your client can see the enrollment details and progress
## Payment Happens Automatically
You don't need to send an invoice or generate a payment link. As soon as the enrollment is created, Pawgress emails your client a secure Stripe checkout link.
| Situation | What your client receives |

Full details in [Collecting Payment for Enrollments](/guides/billing/collect-payment).
## Managing Enrollments
### Viewing Enrollment Details
To see more information about an enrollment:
1. On the client page, scroll to the "Enrollments" section
2. Find the enrollment you want to view
3. Click the "View Details" button
The enrollment details page shows:
* Client and package information
* Total sessions and remaining sessions
* Enrollment price
* Creation and last updated dates
* Current enrollment status (Active, Completed, or Cancelled)
### Enrollment Status Badges
Each enrollment displays a status badge that indicates its current state:
* **Active:** The enrollment is currently in progress and sessions can be scheduled
* **Completed:** All sessions have been used or the enrollment has been marked as finished
* **Cancelled:** The enrollment was cancelled before completion
### Updating Session Count
If you need to add more sessions to an active enrollment:
1. Navigate to the enrollment details page
2. Click the "Update Sessions" button
3. Enter the new total number of sessions
4. Click "Update Sessions" to confirm
This is useful when clients purchase additional sessions or you need to make adjustments to the package.
### Completing an Enrollment
When all sessions are finished or the training program is complete:
1. Go to the enrollment details page
2. Click the "Mark Completed" button
3. Confirm the action in the dialog
4. The enrollment status will change to "Completed"
If there are unused sessions remaining, you'll receive a warning before completing the enrollment.
### Cancelling an Enrollment
If you need to cancel an enrollment (for example, if a client discontinues training):
1. Open the enrollment details page
2. Click the "Cancel Enrollment" button
3. Choose a refund option:
* **No Refund:** Cancel without issuing a refund
* **Partial Refund:** Refund based on remaining sessions (automatically calculated, but adjustable)
* **Full Refund:** Refund the entire package price
4. Review the refund amount and percentage
5. Click the confirmation button to cancel with the selected refund option
**Refund Calculations**
When you select a partial refund, Pawgress automatically calculates the refund amount based on:
* The number of remaining (unused) sessions
* The total number of sessions in the package
* The original enrollment price
You can adjust the suggested refund amount before confirming if needed for your specific situation.
## Tracking Session Usage
The enrollment system automatically tracks session usage:
* Each time you schedule and complete a session, it counts against the enrollment
* The "Remaining" sessions counter updates automatically
* You can see the current progress on the enrollment details page
* When scheduling sessions, you can select which enrollment to use
## Multiple Enrollments
Clients can have multiple active enrollments at the same time:
* Each enrollment is tracked separately with its own session count
* All enrollments are listed on the client page, sorted by most recent first
* You can enroll the same client in different packages for different training needs
* When scheduling sessions, you'll choose which enrollment to apply the session to
## Next Steps
Once you've enrolled a client in a package, you can:
* [Collect payment for the enrollment](/guides/billing/collect-payment)
* [Schedule training sessions](/guides/scheduling/schedule-session) that count against the enrollment
* Track progress as sessions are completed
* [Create training reports](/guides/getting-started/training-reports) to document the client's progress
* Monitor remaining sessions to plan for package renewals
Enrollments are a powerful way to organize your training packages and ensure both you and your clients have a clear understanding of the services being provided and their progress through the program.
# Your Media Library
Source: https://help.trypawgress.com/guides/getting-started/media-library
Upload, reuse, and manage the photos and videos you attach to reports
## Overview
The Media Library is where every clip and photo you've uploaded to Pawgress lives. Upload something once and reuse it across as many training reports as you like — no re-uploading, and no duplicate storage.
To open it, click your avatar in the top-right corner and select **Media library**.
## Storage and Limits
| | Basic | Pro |
| - | - | - |
| Media storage | 2 GB | 50 GB |
| Max video size | 500 MB per file | 500 MB per file |
| Max photo size | 25 MB per file | 25 MB per file |
| Media per report | Unlimited | Unlimited |
Videos and photos share one storage pool. The library shows a storage meter at the top with a **video / photo split** — how much of your limit each is using — plus which plan that limit comes from.
**YouTube links are free**
Attaching a YouTube link to a report costs you nothing against your storage quota. Only uploaded files count. If you already publish training clips to YouTube, linking them is the cheapest option.
When you hit your storage limit, uploads are blocked until you delete some files or upgrade. On Basic, the library shows an **Upgrade to Pro** prompt for the jump to 50 GB.
## Uploading Media
There are two ways to get a file into your library:
* **From the library** — click **Upload media** and select one or more files
* **From a report** — attach a photo or video while writing a [training report](/guides/getting-started/training-reports); it's added to your library automatically
Files upload directly from your browser, so large videos don't need to be compressed first — anything up to 500 MB is fine, which covers several minutes of typical 1080p phone footage. Photos are accepted as JPG, PNG, or WebP up to 25 MB.
Use the **All / Videos / Photos** tabs to filter the library, and the search box to find a file by title.
## Managing Your Media
Each file in the library can be:
* **Renamed** — give it a title you'll recognise months later
* **Downloaded** — pull the original file back down
* **Deleted** — remove it permanently
**Deleting removes it from reports too**
If a file is attached to one or more reports, deleting it from your library removes it from those reports as well. Pawgress warns you and tells you how many reports are affected before you confirm. This can't be undone.
## Reusing Media on a Report
When you add media to a report, the **Your library** tab lists everything you've already uploaded — filterable by All, Videos, or Photos. Select one or more files and they're attached instantly — no upload, no extra storage consumed.
This is what makes the library worth curating: a good "loose-leash walking, week one vs week six" clip can illustrate the same point for every client you ever teach it to.
**Name files by what they show, not who's in them**
"Reactive dog — threshold work" is reusable across clients. "Bella session 3" is not. Titles that describe the behaviour make your library far easier to draw on later.
## Next Steps
* [Create a training report](/guides/getting-started/training-reports) and attach your first photo or video
* [Upgrade to Pro](/guides/overview/upgrade-to-pro) for 50 GB of storage
# Setting Up Your Profile & Settings
Source: https://help.trypawgress.com/guides/getting-started/setup-profile
Complete your trainer profile, set your booking rules, configure notifications, and add your branding
## Your Profile Page
Your profile page is both your public shop window and your settings panel. Click your avatar in the top-right corner and select **Account** to open it.
The page is organised into five sections, listed in the sidebar:
* **Personal details** — your name, phone, and location
* **Notifications** — email notifications and client session reminders
* **Booking & billing** — cancellation rules, booking notice, and your default currency
* **Trainer profile** — biography, specialties, certifications, experience
* **Branding** — your logo, brand colour, and business name (Pro)
The profile page holds your public profile and your account settings
**How saving works**
Preferences — toggles, dropdowns, and switches — save the moment you change them. Anything you type is held until you click save.
## Personal Details
### Profile Photo
A professional photo helps clients recognise you and builds trust:
1. Click the avatar or the change photo button
2. Select a clear, professional photo of yourself
3. Upload an image smaller than 2MB in JPG, PNG, or GIF format
Your photo appears on your profile, on public booking pages, and in client communications.
### Contact Details
* **First Name** and **Last Name** — as you'd like clients to see them
* **Phone Number** — your business contact number, visible to connected clients
* **Location** — your primary training area
**Location Tips**
Being specific helps prospects understand your service area. Use the location autocomplete to select the city or neighbourhood where you primarily train.
## Notifications
### Email notifications
Turn this on to get an email when clients pay for enrollments and on other account activity. It's on by default.
### Session reminders
Send your clients an automatic email before their scheduled sessions. When enabled, choose **when** the reminder goes out.
You can pick up to **two** reminder times from: 1 hour, 2 hours, 12 hours, 24 hours, 48 hours, 72 hours, and 1 week before the session.
**Two reminders beat one**
The pairing most trainers land on is **24 hours** (time to rearrange their day) plus **1 hour** (time to actually leave the house). No-shows drop noticeably.
## Booking & Billing
These settings govern how clients book and cancel through your [public booking links](/guides/scheduling/public-booking).
### Cancellation notice
How far ahead clients must cancel a session. Options range from **any time** through 1, 2, 4, 12, 24, 48, and 72 hours, up to **1 week**.
Set this to match the cancellation policy you actually enforce — if you charge for cancellations inside 24 hours, set 24 hours here so the system backs you up.
### Minimum booking notice
How far in advance clients must book. Options run from **no minimum** up to 72 hours.
Minimum booking notice applies only to clients booking themselves. It never restricts sessions you schedule yourself, so you can still slot in a same-day session when it suits you.
### Default currency
The currency used for **new** packages and enrollments. Pawgress supports USD, CAD, GBP, EUR, AUD, NZD, CHF, JPY, SEK, NOK, DKK, MXN, BRL, SGD, and HKD.
**Set your currency before creating packages.** When you enroll a client, the currency is locked into that enrollment and used for Stripe checkout. Changing your default later affects only new packages and enrollments — existing ones keep the currency they were created with.
This is the currency you charge **your clients** in. It's separate from the currency your own Pawgress Pro subscription is billed in — see [Subscription Management](/guides/billing/subscription-management).
## Trainer Profile
This section is what prospects read on your public booking pages.
### Biography
Write a compelling biography covering:
* Your training philosophy and approach
* What makes your style distinctive
* Your background and how you got started
* Your passion for working with dogs and their owners
### Specialties
List your areas of expertise — type a specialty and press Enter to add it:
* Puppy training and socialization
* Behavior modification (reactivity, aggression, anxiety)
* Training approaches (positive reinforcement, clicker training)
* Specialized work (therapy dog preparation, service dog training)
### Certifications
Add your professional credentials the same way — CPDT-KA, IAABC, KPA-CTP, educational qualifications, and professional memberships. These do a great deal of the trust-building on a public booking page.
### Years of Experience
The number of years you've been training professionally.
**Profile Completeness Matters**
Everything in this section appears on your public booking pages. A prospect deciding between you and another trainer is reading exactly these fields — it's worth the twenty minutes.
## Branding
**Pro Feature**
Custom branding requires a Pawgress Pro subscription.
Branding replaces Pawgress's look on your client-facing pages with your own:
* **Show my branding to clients** — the master switch; when off, pages use Pawgress branding
* **Business name** — your business name, shown in place of "Pawgress"
* **Brand colour** — a hex colour like `#CE8540`, applied to buttons and accents
* **Logo** — your logo, with a built-in cropper
* **Hero image** — a banner image for the top of your public pages
Large images are compressed automatically on upload, and both the logo and hero image can be cropped in place.
The card shows a **Live** badge when your branding is active and **Off** when it isn't.
**Branding pays off most on booking links**
Custom branding matters most where prospects who don't know Pawgress see your pages — your [public booking links](/guides/scheduling/public-booking). A branded page reads as your business; an unbranded one reads as a third-party tool.
## Next Steps
* [Add your first client](/guides/getting-started/add-client)
* [Create training packages](/guides/getting-started/create-package)
* [Set up your availability](/guides/scheduling/set-availability)

# Tracking Behavior Progress
Source: https://help.trypawgress.com/guides/getting-started/track-progress
Log behavior scores over time and visualize how each dog is improving
## Overview
Behavior progress tracking turns "he seems better on lead lately" into a chart you can show a client. You assign behaviors to a pet, log a score each time you work on one, and Pawgress plots the trend over time.
**Included on every plan**
Progress tracking is available on both Basic and Pro.
## Who Logs What
Both sides of the relationship can contribute, and each entry records who made it:
* **Trainers** log from **Progress** in the main navigation, after picking a client and a pet
* **Clients** log from their own **Progress** page for their dog
Because clients can log between sessions, you get a picture of how the dog behaves the other six days of the week — usually the more revealing data.
## Logging an Entry
### Step 1: Select the pet
Trainers: open **Progress**, then choose the client and the pet you're logging for. Clients: open **Progress** and pick the dog.
### Step 2: Add an entry
Click **Add Entry** to open the log form.
### Step 3: Fill in the log
* **Behavior** — pick which behavior this entry is about
* **Date** — defaults to today; change it if you're backfilling a session
* **Progress Score** — a 1 to 10 slider, where **1 is severe**, **5 is moderate**, and **10 is excellent**
* **Quick Notes** — optional context: what you worked on, what triggered a setback, what finally clicked
Save the entry and it appears immediately in the log table and the chart.
**Score the same thing the same way**
The score scale is only useful if you apply it consistently. Decide what a "6" means for a given behavior early on and stick to it — a wobbly scale produces a chart nobody can interpret.
## Reading the Progress View
For a selected pet and behavior, the Progress page shows:
* **The log table** — every entry with its date, score, notes, and whether a trainer or the client recorded it
* **The trend** — scores plotted over time, so improvement (or regression) is visible at a glance
Switch behaviors to see how each one is developing independently. A dog can be improving steadily on recall while stalling on reactivity, and averaging the two would hide both facts.
## Using Progress in Client Conversations
The chart earns its keep in three places:
* **Mid-package check-ins** — evidence that the work is paying off, which keeps clients committed
* **[Training reports](/guides/getting-started/training-reports)** — reference specific logged scores when you write up progress
* **Renewal conversations** — a flattening curve on one behavior is a concrete argument for more sessions
**Ask clients to log between sessions**
Trainers who get clients logging two or three times a week end up with far better data than those relying on session-day entries alone — and clients who log tend to practise more, because logging reminds them to.
## Next Steps
* [Create a training report](/guides/getting-started/training-reports) that draws on the logged scores

# Creating Training Reports
Source: https://help.trypawgress.com/guides/getting-started/training-reports
Learn how to create, publish, and manage training reports to track client progress
## Training Reports Overview
Training reports document your sessions, communicate progress to clients, and build a record of each pet's development. You can write rich-text reports, attach photos and video, save reusable templates, and publish reports straight to your client's account.
The Reports page displays all training reports you've created for your clients
## Creating Your First Report
### Step 1: Navigate to the Reports Page
Click **Reports** in the main navigation to see all your existing reports.
### Step 2: Create a New Report
Click the **New Report** button to open the report editor.
Click "New Report" to start creating a training report
## Report Details
### Select Client and Pet
Choose who the report is for:
1. **Select a Client:** Choose from your list of active clients
2. **Select a Pet:** After choosing a client, select which of their pets the report is about
Select the client and pet for your training report
### Choose a Template (Pro Feature)
**Pro Feature**
Report templates require a Pawgress Pro subscription. Pro gives you unlimited custom templates with variable placeholders to speed up your workflow.
If you're on Pro, select a template to pre-fill the editor with your saved structure.
Choose from your library of report templates to streamline report creation
Templates are especially useful for:
* Standardizing your reporting format
* Ensuring you cover all important topics
* Saving time on recurring report types (initial assessments, progress check-ins, graduation reports)
**Managing Your Templates**
Open **Manage Report Templates** from the report editor to create, rename, edit, and delete templates. Templates support variable placeholders, so recurring details can be filled in per report rather than retyped.
### Write Your Report Content
The report editor is a rich text editor. You can:
* **Add headings** for different sections (e.g. "Session Summary", "Next Steps")
* **Format text** with bold, italics, and bullet points
* **Create lists** for observations or recommendations
* **Add links** to relevant resources
Your work saves with **⌘S**, and the editor supports undo (**⌘Z**) and redo (**⌘⇧Z**).
Use the rich text editor to create detailed, well-formatted training reports
### Attach Media
Photos and video are often the clearest way to show a client what changed. A report can hold as many photos and videos as you like — the only limit is your media storage quota. Add them four ways:
* **Upload a video** — a clip from your device, up to 500 MB per file.
* **Upload a photo** — JPG, PNG, or WebP, up to 25 MB per file.
* **YouTube** — paste a YouTube link. Links never count against your storage quota.
* **Library** — pick a photo or video you've already uploaded, with no second upload.
Uploads count against your media storage quota and are saved to your [Media Library](/guides/getting-started/media-library) for reuse.
**Storage limits**
Basic includes **2 GB** of media storage (photos and videos combined); Pro includes **50 GB**. You can see your current usage any time in your [Media Library](/guides/getting-started/media-library).
### Common Report Sections
Consider including:
* **Session Overview:** Brief summary of what was covered
* **Behavior Assessment:** Observations on the pet's current behaviors
* **Progress Since Last Session:** Improvements and changes noted
* **Challenges:** Any difficulties encountered during training
* **Accomplishments:** Successes and milestones achieved
* **Homework:** Practice activities for the client to work on
* **Next Session Goals:** What you'll focus on in upcoming sessions
**Pro Tip: Report Writing**
The most effective training reports are:
* **Specific:** Include concrete examples of behaviors observed
* **Balanced:** Highlight both successes and areas for improvement
* **Actionable:** Provide clear next steps for the client
* **Timely:** Write reports shortly after sessions while details are fresh
## Saving and Publishing Reports
### Drafts
A report stays a **draft** until you publish it. Drafts are visible only to you, can be edited freely, and show up in the **Incomplete Reports** card on your dashboard so you don't lose track of them.
### Publishing
When your report is ready to share, click **Publish** and confirm.
**Publishing is final**
Once published, a report is **locked and cannot be edited**. Review your content carefully before publishing — including media and formatting.
If you need to correct a published report, create a new report for the same client and pet.
On publish, your client:
* Receives an email notification
* Can view the report in their Pawgress account immediately
Publish your report to make it visible to your client
## Managing Your Reports
### Viewing and Filtering Reports
The Reports page lists your reports with the most recent first, showing the client, pet, status, and date. Use the search box and the status filter to switch between **Published** reports and **Drafts**.
Your reports list shows all training reports you've created
### What Clients See
Published reports appear on the client's **Reports** page, where they can read your observations, view attached photos and videos, and browse the full report history for their pet.
## Report Best Practices
### Consistency is Key
Establish a regular reporting schedule:
* **After every session:** Document observations while fresh
* **Weekly or bi-weekly:** For ongoing training programs
* **At milestones:** When pets achieve significant goals
* **End of package:** A comprehensive summary when completing a program
### Use Templates for Efficiency
On Pro, create templates for your common scenarios — initial assessment, weekly progress, behavior modification, graduation. Templates ensure you never forget a section and cut writing time considerably.
### Draft First, Publish Once
Because publishing locks a report, write in draft and review before you publish. Drafts are a safe place to work over several sittings.

# Connect Your Stripe Account
Source: https://help.trypawgress.com/guides/integration/connect-stripe
Learn how to connect your Stripe account to Pawgress so you can accept online payments from clients for training packages
## Why Connect Stripe?
Connecting Stripe to Pawgress lets you accept online payments directly from clients for training package enrollments. Once connected, you can send clients a secure checkout link and get paid automatically — no invoicing software or manual tracking required.
**Pro Feature**
Stripe Connect payments require a Pawgress Pro subscription. [Upgrade to Pro](/guides/billing/subscription-management) to unlock this feature.
**How It Works**
Pawgress uses **Stripe Connect** to route payments directly to your Stripe account. When a client pays, the funds go straight to your Stripe balance, and Pawgress takes care of the secure checkout and payment confirmation automatically.
## Prerequisites
Before connecting Stripe, make sure you have:
* A Pawgress Pro subscription ([upgrade here](/guides/billing/subscription-management))
* A Stripe account, or the ability to create one (free at stripe.com)
* Your business or personal information ready for Stripe verification
## Connecting Your Stripe Account
### Step 1: Open Integrations
Click your avatar in the top-right corner and select **Integrations**.
Open Integrations from your avatar menu
### Step 2: Find the Stripe Connect Section
Scroll down to the **Stripe** section. You'll see a card showing your current Stripe connection status.
If you haven't connected Stripe yet, the status will show **Not Connected**.

### Step 3: Start the Connection
Click the **Connect Stripe Account** button. You'll be redirected to Stripe's secure onboarding page.
### Step 4: Complete Stripe Onboarding
On the Stripe onboarding page:
1. **Sign in** to your existing Stripe account, or click **Create an account** if you don't have one yet
2. **Provide your business details** — Stripe may ask for your legal name, address, date of birth, and business type
3. **Add a bank account** where Stripe will send your payouts
4. **Submit your information** and wait for Stripe to verify your details
**Verification Time**
Most Stripe accounts are verified instantly. In some cases, Stripe may need additional documentation and can take 1-2 business days. You'll receive an email from Stripe when your account is fully active.
Complete Stripe's onboarding to link your bank account and verify your identity
### Step 5: Return to Pawgress
After completing the Stripe onboarding, you'll automatically be redirected back to Pawgress. The Stripe card in your Integrations tab will update to show your connection status.
A connected Stripe account shows a green Active badge
## Understanding Your Connection Status
The Stripe card shows three indicators:
* **Charges Enabled** — Stripe has approved your account to accept payments. This is required before you can collect money from clients.
* **Payouts Enabled** — Stripe can send funds to your bank account.
* **Details Submitted** — You've completed the onboarding form.
If **Charges Enabled** shows as inactive after completing onboarding, Stripe may need more time or additional verification. Check your email for instructions from Stripe, or log in to your Stripe dashboard directly to see what's needed.
## Setting Your Default Currency
Before creating packages or enrolling clients, set the currency you want to charge in. This applies to all new packages and enrollments going forward.
### Where to Find It
Click your avatar and select **Account**, then open the **Booking & billing** section. The **Default currency** setting is there.
Default currency lives under Booking & billing on your profile page
### Choosing a Currency
Click the dropdown and select your currency. Pawgress supports:
| Currency | Code |
| - | - |
| US Dollar | USD |
| Canadian Dollar | CAD |
| British Pound | GBP |
| Euro | EUR |
| Australian Dollar | AUD |
| New Zealand Dollar | NZD |
| Swiss Franc | CHF |
| Japanese Yen | JPY |
| Swedish Krona | SEK |
| Norwegian Krone | NOK |
| Danish Krone | DKK |
| Mexican Peso | MXN |
| Brazilian Real | BRL |
| Singapore Dollar | SGD |
| Hong Kong Dollar | HKD |
The change saves as soon as you select it.
**Set your currency before creating packages.** When you enroll a client, the currency is locked into that enrollment and used for the Stripe checkout. Changing your default currency later won't affect existing enrollments — only new ones going forward.
## Troubleshooting
### "Charges not enabled" after connecting
Log in to your [Stripe Dashboard](https://dashboard.stripe.com) and check for any outstanding requirements under **Settings → Account**. Stripe will list any documents or details still needed to activate your account.
### Redirected back with an error
If the connection process fails, try again from the Integrations tab. Make sure you complete the full Stripe onboarding without closing the browser tab mid-way.

# Google Calendar Integration
Source: https://help.trypawgress.com/guides/integration/google-calendar
Learn how to sync your training sessions with Google Calendar
## What is the Google Calendar Integration?
Pawgress's Google Calendar integration allows you to sync your training sessions with your Google Calendar. When you schedule a session in Pawgress, it can automatically appear in your Google Calendar, helping you keep track of all your appointments in one place.
**Pro Feature**
Google Calendar integration is a Pro feature in Pawgress, allowing you to:
* Connect your Google Calendar account to Pawgress
* Automatically sync training sessions to specific calendars
* Avoid double-booking by keeping all your appointments in sync
* Access your training schedule from any device with Google Calendar
## Setting Up Google Calendar Integration
### Step 1: Navigate to the Integrations Page
Click your avatar in the top-right corner and select **Integrations**.
The Integrations page shows available third-party services you can connect
### Step 2: Connect Google Calendar
On the Integrations page:
1. Find the Google Calendar section
2. Click the "Connect Google Calendar" button
3. You'll be redirected to Google's authentication page
4. Log in to your Google account if prompted
5. Grant Pawgress permission to access your Google Calendar
6. You'll be redirected back to Pawgress once the connection is successful
Click the "Connect Google Calendar" button to start the integration process
Grant Pawgress permission to access your Google Calendar
### Step 3: Verify Connection
After redirecting back to Pawgress, you should see your Google account displayed as connected:
* The status will change to "Connected"
* Your Google account email will be displayed
* A delete button will appear in case you want to remove the integration later
The connected state shows your Google account and provides an option to remove the connection
## Adding a Calendar to a Training Package
Once you've connected Google Calendar to Pawgress, you can select specific calendars for your training packages:
### Step 1: Create or Edit a Package
Navigate to the **Packages** page and either:
* Click "New Package" to create a new training package, or
* Click on an existing package to edit its details
### Step 2: Select a Google Calendar
In the package creation/editing form:
1. Scroll down to the "Options & Settings" section
2. Find the "Google Calendar (Optional)" dropdown
3. Click to open the dropdown menu
4. Select one of your Google Calendars from the list
5. If you don't see your calendars, make sure you've completed the connection process described above
Select a specific calendar from your Google account to use with this package
### Step 3: Save the Package
Once you've selected a calendar:
1. Complete the rest of the package details
2. Click "Create Package" or "Save Changes" at the bottom of the form
3. Your package is now linked to the selected Google Calendar
## How it Works
Once you've set up the integration and linked a calendar to a package:
1. When a session is scheduled for that package, it will automatically be added to the linked Google Calendar. The event lives on that calendar, and the client is invited to it. You aren't sent an invite to your own event, so each session appears once.
2. The calendar event will include client name, pet name, location, and session details
3. If a session is rescheduled in Pawgress, the Google Calendar event will update accordingly
4. If a session is cancelled in Pawgress, the Google Calendar event will be removed
**Pro Tip: Multiple Calendars**
Consider creating different Google Calendars for different types of training sessions:
* One calendar for one-on-one sessions
* Another for group classes
* A third for virtual consultations
This gives you more flexibility in how you view and manage your schedule in Google Calendar.
Keep each linked calendar visible in Google Calendar, since that's where its sessions appear.
## Troubleshooting
### Calendar Not Showing in Dropdown
If your Google Calendars don't appear in the dropdown:
* Go back to the Integrations page and check if Google Calendar is properly connected
* Try disconnecting and reconnecting your Google account
* Make sure you have calendar access in your Google account permissions
### Events Not Syncing
If sessions aren't appearing in your Google Calendar:
* Verify you've selected the correct calendar for the package
* Check if the integration is still connected in the Integrations page
* Try scheduling a new test session to verify the connection
For any persistent issues, please contact our support team at [support@pawgress.ca](mailto:support@pawgress.ca).
# Google Meet Integration
Source: https://help.trypawgress.com/guides/integration/google-meet
Automatically create Google Meet links for your virtual training sessions
## What is the Google Meet Integration?
Google Meet lets you host virtual training sessions without any extra setup. When you schedule a session and choose **Google Meet** as the format, Pawgress creates a Meet link automatically and shares it with your client.
**Pro Feature**
Google Meet requires a Pawgress Pro subscription. Google Meet itself is free.
**It shares your Google connection**
Google Meet uses the same Google account connection as Google Calendar. Connecting one connects the other, and disconnecting one disconnects both. If you've already [connected Google Calendar](/guides/integration/google-calendar), Google Meet is ready to use.
## Setting Up Google Meet
### Step 1: Open Integrations
Click your avatar in the top-right corner and select **Integrations**.
The Integrations page shows the third-party services you can connect
### Step 2: Connect your Google account
Find the **Google Meet** card and start the connection. You'll be sent to Google to sign in and grant Pawgress permission, then redirected back to Pawgress.
If Google Calendar is already connected, Google Meet shows as connected too — there's nothing more to do.
### Step 3: Verify
The card shows your connected Google account, with the option to disconnect later.
## Using Google Meet for a Session
1. Open **Sessions** and click **New session**
2. Fill in the client, package, and date and time
3. Under **Where**, choose **Google Meet**
4. Save
A Meet link is created for the session and shared with your client. Sessions with a Meet link show a **Virtual** badge on the sessions list.
If Google Meet is greyed out in the **Where** selector, your Google account isn't connected. Connect it from the Integrations page and try again.
## Setting Google Meet as a Package Default
You can attach a video integration to a package so every session booked under it becomes a Google Meet session automatically — useful for a virtual-only consultation or an online coaching program. Set this on the package's video integration option when creating or editing it.
## Google Meet vs Zoom
Both are supported and both appear in the **Where** selector when connected. Pick based on what you already use:
| | Google Meet | Zoom |
| - | - | - |
| Cost | Free | Free tier with a 40-minute limit on group calls |
| Setup | Shares your Google Calendar connection | Separate connection |
| Best if | You already use Google Calendar | You already run your business on Zoom |
You can connect both and choose per session.
## Troubleshooting
### Meet isn't selectable
Check the Integrations page. Because Meet and Calendar share one connection, disconnecting Google Calendar also removes Google Meet.
### No link on the session
Confirm the session's format is set to Google Meet rather than In-person, and that your Google connection is still active.
For persistent issues, contact [support@pawgress.ca](mailto:support@pawgress.ca).

# Zoom Integration for Virtual Sessions
Source: https://help.trypawgress.com/guides/integration/zoom
Learn how to automatically create and manage Zoom meetings for your virtual training sessions
## What is the Zoom Integration?
Pawgress's Zoom integration allows you to automatically create and manage Zoom meetings for your virtual training sessions. When you schedule a virtual session in Pawgress, a Zoom meeting is created automatically, and the meeting details are shared with your client. This streamlines the process of conducting online training sessions.
**Pro Feature**
Zoom integration is a Pro feature in Pawgress, allowing you to:
* Connect your Zoom account to Pawgress
* Automatically create Zoom meetings for virtual sessions
* Include Zoom meeting links in client notifications
* Manage virtual sessions seamlessly alongside in-person training
## Setting Up Zoom Integration
### Step 1: Navigate to the Integrations Page
Click your avatar in the top-right corner and select **Integrations**.
The Integrations page shows available third-party services you can connect
### Step 2: Connect Zoom
On the Integrations page:
1. Find the Zoom section
2. Click the "Connect Zoom" button
3. You'll be redirected to Zoom's authentication page
4. Log in to your Zoom account if prompted
5. Grant Pawgress permission to access your Zoom account
6. You'll be redirected back to Pawgress once the connection is successful
Click the "Connect Zoom" button to start the integration process
Grant Pawgress permission to access your Zoom account
### Step 3: Verify Connection
After redirecting back to Pawgress, you should see your Zoom account displayed as connected:
* The status will change to "Connected"
* Your Zoom account email will be displayed
* A delete button will appear in case you want to remove the integration later
The connected state shows your Zoom account and provides an option to remove the connection
## Creating a Virtual Training Session
### Step 1: Navigate to Sessions
Click **Sessions** in the main navigation.
### Step 2: Open the Scheduling Drawer
Click **New session** to open the scheduling drawer.
### Step 3: Fill in Session Details
Work through the drawer's sections:
1. **Who** — search for and select the client
2. **Package** — pick the client's enrollment this session counts against
3. **When** — choose the date (or several) and the start time
4. **Where** — select **Zoom**
5. **Notes** — add anything you want to remember (optional)
Choose "Zoom" under Where to create a Zoom meeting for this session
If **Zoom** is greyed out, your Zoom account isn't connected — or the connection has expired, in which case the drawer tells you and offers to reconnect.
### Step 4: Create the Session
Save the session and Pawgress generates the Zoom meeting.
* The meeting is created for the date and time you specified
* The meeting details (link, meeting ID, passcode) are stored in Pawgress
* Both you and your client can access them from the session
The session displays a "Virtual" badge and includes the Zoom meeting link
## Managing Virtual Sessions
### Accessing the Zoom Meeting
To access the meeting as a trainer:
1. Go to the **Sessions** page
2. Find the virtual session in your **Upcoming** segment
3. Click the session to open it
4. Click the button to join the Zoom meeting
Click the "Join Zoom Meeting" button to launch the meeting
### Confirming Created Zoom Meetings
You can verify that the meeting was created in your Zoom account:
1. Log in to your Zoom account at zoom.us
2. Go to the "Meetings" section
3. Find the meeting created by Pawgress in your scheduled meetings list
The meeting appears in your Zoom account with the client and pet name in the title
**Pro Tip: Preparing for Virtual Sessions**
To ensure a smooth virtual training experience:
* Join the meeting 5-10 minutes early to check your setup
* Have a well-lit, distraction-free environment
* Position your camera to show your full body when demonstrating techniques
* Consider using a Bluetooth headset for better audio quality and mobility
* Have training materials ready to share on screen if needed
## Troubleshooting
### Zoom Integration Not Working
If you're having trouble with the Zoom integration:
* Open **Integrations** from your avatar menu and check that Zoom is connected
* Try disconnecting and reconnecting your Zoom account
* Make sure your Zoom account is active and not in a free trial that has expired
### Meeting Not Created
If a Zoom meeting isn't created when scheduling a virtual session:
* Verify the session's **Where** is set to Zoom rather than In-person
* Check that your Zoom integration is still connected on the Integrations page
* Ensure your Zoom account has sufficient meeting credits (if using a paid account)
For any persistent issues, please contact our support team at [support@pawgress.ca](mailto:support@pawgress.ca).
## Zoom or Google Meet?
Pawgress also supports [Google Meet](/guides/integration/google-meet), which is free and shares your Google Calendar connection. You can connect both and pick per session.
# Connect Your Email
Source: https://help.trypawgress.com/guides/messaging/connect-email
Connect Gmail, Google Workspace, or any other email provider so you can message clients from Pawgress — from your own address
## How Client Messaging Works
Pawgress lets you email your clients straight from the **Sessions** and **Clients** pages: a schedule change for a whole group class, homework before a private session, or an announcement to a handful of past clients.
Every message goes out **from your own email address**, not from Pawgress. Clients see your name, and when they hit reply, the answer lands in your normal inbox.
**Pawgress only sends what you write**
Connecting your email gives Pawgress permission to *send* the messages you compose. It never reads your inbox, and it never sends anything on its own.
Before your first message you'll do two things once:
1. **Connect an email account** — Gmail / Google Workspace, or any other provider over SMTP
2. **Add your business details** — your business name and mailing address, which anti-spam law requires in every client email
If you try to message a client before connecting an account, Pawgress points you to the setup:

## Option 1: Gmail or Google Workspace
Use this if your business email is a Gmail address or runs on Google Workspace (for example `you@yourbusiness.com` hosted by Google).
### Step 1: Open Integrations
Click your avatar in the top-right corner and select **Integrations**, then find the **Email** section.

### Step 2: Connect Gmail
1. On the **Gmail** card, click **Connect**
2. Tick the box confirming you'll only message your own clients, and that announcements and promotions need their consent
3. Sign in to Google and pick the account you want to send from
### Step 3: Allow sending
Google asks you to allow Pawgress to **send email on your behalf**. Leave that permission ticked — without it Pawgress can't send, and you'll see *"Pawgress needs permission to send email."* Just try again and keep the box ticked.
When you're back in Pawgress you'll see **Gmail connected**, and client messages now send from your Gmail address.
**Already use Google Calendar?**
Gmail and [Google Calendar](/guides/integration/google-calendar) are connected separately. Disconnecting one never breaks the other — if you disconnect Gmail, Calendar keeps syncing your sessions, and vice versa.
## Option 2: Any Other Provider (SMTP)
Use **Other email (SMTP)** for everything else: your web host's email, Microsoft 365, Zoho, Fastmail, iCloud, and so on.
### Step 1: Find your SMTP settings
Look in your email provider's help pages or settings for **SMTP** or **outgoing mail**. You'll need:
| Setting | Example |
| - | - |
| SMTP server | `smtp.fastmail.com` |
| Port | `465` or `587` |
| Security | SSL/TLS or STARTTLS |
| Username | Usually your full email address |
| Password | Often an **app password** — see below |
**Use an app password**
Many providers (iCloud, Fastmail, Microsoft 365 with two-factor sign-in, and others) won't accept your normal password for SMTP. Create an **app password** in your provider's security settings and use that instead. It's stored encrypted and only used to send messages you write.
### Step 2: Enter your details
1. Go to **Integrations → Email** and click **Set up** on the **Other email (SMTP)** card
2. Fill in your **From name** (what clients see, e.g. *Jamie Moreau*) and **From address**
3. Enter the server, port, security, username, and password
4. Tick the box confirming you'll only message your own clients
Your provider must allow sending as the **From address**. Most only let you send from the mailbox you sign in with, so keep them the same unless you know your provider allows aliases.
### Step 3: Verify the sender
1. Click **Send test email**. Pawgress connects to your server and sends a **6-digit code** to your From address — through your own server
2. Check your inbox, then enter the code and click **Verify and connect**
You'll see **Sender verified**, and client messages now send through your SMTP server.
The code proves your server accepted a message from that address and you received it. It can't guarantee every future message is delivered — your provider can still filter mail.
**Changed a setting? Verify again.** If you edit any SMTP setting later (server, port, password, From address…), Pawgress asks you to send a new test before it sends anything else.
## Choosing Which Account Sends
You can connect both Gmail and SMTP. Only one sends your messages at a time — the Email section says which (*"Client messages send through …"*). To switch, click **Use for sending messages** on the other card.
## Adding Your Business Details
The first time you send a message, Pawgress asks for your business details:
* **Business name**
* **Mailing address** — street, city, province/state, postal code, country
* **Phone** and **website** (optional)
These appear in the footer of every message. Canada's anti-spam law (CASL) and similar laws elsewhere require a real business name and mailing address in commercial email, so Pawgress includes them in every message.
To change them later, click your avatar, select **Account**, and open the **Client emails** section. New messages use the updated details; messages you've already sent keep the details they were sent with.
Keep the address accurate and reachable for at least **60 days** after your last message.
## Make Your Emails Look Like Your Business
With [Branding](/guides/getting-started/setup-profile#branding) turned on (a Pro feature), messages use your **logo and brand color**. Without branding, they use Pawgress's warm cream-and-amber colors with your business name at the top.
## Troubleshooting
### Gmail card says "Reconnect"
Google stopped accepting Pawgress's access, for example because you changed your Google password or removed Pawgress from your Google account. Click **Reconnect** on the Gmail card to sign in again.
### SMTP card says "Set up again"
Your SMTP settings changed or your saved password can no longer be used. Click **Set up again**, re-enter your details, and verify with a new test email.
### SMTP test email never arrives
* Double-check the server, port, and security setting against your provider's help page
* Try an **app password** instead of your normal password
* Check your spam folder
* If you see *"We couldn't reach your server,"* the server name or port is wrong. Pawgress only connects on ports **465**, **587**, and **2525**
### Messages to clients land in spam
If you send from your own domain (e.g. `you@yourbusiness.com`), make sure **SPF** and **DKIM** are set up with your email provider. Your provider's help pages explain how.

# Message Your Clients
Source: https://help.trypawgress.com/guides/messaging/message-clients
Email one client, a whole group class, or a hand-picked list — personalized with each client's name, pet, and session details
## Overview
You can email clients from two places in Pawgress:
| Where | Best for | Fields you can use |
| - | - | - |
| **Sessions** page | Anything about a specific session or class — schedule changes, what to bring, homework | First name, pet name, session time, location |
| **Clients** page | Messages that aren't tied to one session — check-ins, announcements, new classes | First name, pet name |
Each client gets their own copy, addressed to them. Clients never see who else received the message.
**Before your first message**
[Connect your email account](/guides/messaging/connect-email) — Gmail or any provider over SMTP. Messages are sent from your own address.
## Messaging From the Sessions Page
Every upcoming session has a **send** button (the paper-plane icon) on the right of its card.
### A private session
Click the send button on the session card to message that client. The message opens with the session already attached, so the **session time** and **location** fields fill in automatically.
### A group class
A group class card has its own send button:
* Click it on the **closed** card to message **every participant** in the class
* **Expand** the class to tick only some participants — the button then reads **Message 3 selected**
* Each participant row also has its own send button, to message just that one client

**Rain-out? Message the whole class in one go.**
Open the class, pick the **Class rescheduled** template, and send. Every family gets a personal email with their own dog's name and the class time filled in. See [Message Templates](/guides/messaging/message-templates).
## Messaging From the Clients Page
1. Go to **Clients** and make sure you're in **List** view
2. Click **Message clients**, or tick the checkbox next to any client
3. Tick everyone you want to message — a bar appears at the bottom showing who's selected
4. Click **Message N clients**

Your selection is kept as you page through the list, and clears when you change the search or stage filter. You can use the filters to narrow the list first — for example, filter to **Completed** to reach clients who've finished their package.
Messages sent from the Clients page aren't tied to a session, so **session time** and **location** aren't available. If your message uses them, Pawgress highlights the fields and asks you to remove them before sending.
## Writing Your Message
The message panel has a **Write** and a **Preview** tab.
### From and To
* **From** shows the email account your message sends from. Click **Change** to switch accounts on the Integrations page.
* **To** lists everyone the message is for. Untick anyone you want to leave out.
Some recipients may carry a badge:
| Badge | Meaning |
| - | - |
| **No email** | No email address on file — add one on their client page |
| **Unavailable** | They're no longer your client |
| **Unsubscribed** | They opted out of promotional email (service messages still reach them) |
| **No consent** | No consent for promotional email on record |
If a client has more than one dog, a picker next to their name lets you choose which pet `{pet name}` refers to, or **All** of them. When you message from a session, the session's own dog is always used.
### Kind of message
Choose **Service message** for updates about bookings, sessions, or training, or **Promotional message** if any part of it promotes classes, packages, or offers. Service is the default. See [Service vs. Promotional Messages](/guides/messaging/promotional-messages) for how to choose and who can receive promotions.
### Subject and message
Write your subject and message as plain text. Line breaks and blank lines are kept, and web links you type become clickable.
To start from a saved message, click **Choose a template** or **Browse**. See [Message Templates](/guides/messaging/message-templates).
### Personalize with fields
Click **Insert** to add a field that fills in for each recipient:
| Field | Fills in with |
| - | - |
| `{first name}` | The client's first name |
| `{pet name}` | Their dog's name |
| `{session time}` | The session's date and time *(Sessions page only)* |
| `{location}` | The session's location *(Sessions page only)* |
So *"Hi `{first name}`, please bring a towel for `{pet name}`"* reaches Sarah as *"Hi Sarah, please bring a towel for Biscuit."*
### Attachments
Drop files onto the **Attachments** area, click **browse**, or click **add a link**.
* **Files**: PDFs, images (JPEG, PNG, WebP), and Word documents (.docx) — up to **10 MB each** and **16 MB per message**
* **Links**: up to 10, such as a YouTube video. Links show as cards in the email; videos get a play button.
Images appear right inside the email. Documents are attached so clients can download them.
## Previewing Before You Send
Click the **Preview** tab to see exactly what your client will receive, with every field filled in. If you're messaging several people, use the arrows to step through each recipient's version.

The filled-in fields are highlighted in the preview so you can check them at a glance — the highlight doesn't appear in the delivered email.
## Sending
Click **Send to Alex** (or **Send to 5 clients**). If some recipients can't receive this kind of message, the button tells you — for example **Send to 4 of 5**.
Large sends go out in the background. You can close the panel; Pawgress lets you know when it's done:
* **Message sent** — everyone got it
* **Message sent with problems** — open the message to see who didn't get it and why
* **Sending paused** — your email provider asked Pawgress to slow down (it resumes on its own in a few minutes), or your email account needs reconnecting
With Gmail, sent messages also show up in your **Sent** folder, just like any email you send yourself. Over SMTP, whether a copy is kept in Sent depends on your provider — many don't keep one.

### "We can't confirm these went out"
Occasionally a connection drops at the exact moment an email is handed to your provider, and Pawgress can't tell whether it was sent. Those recipients are listed separately. **Check your Sent folder first** (or ask the client) — if the email went out, there's nothing to do. Only click **Send again anyway** if it isn't, or the client may get two copies.
## Replies
Replies go straight to your own inbox — Pawgress never sees them. Every email ends with a note telling your client *"Questions? Just reply to this email — it goes straight to Jamie"* (with your first name).
## Limits
| Limit | Amount |
| - | - |
| Recipients per message | 100 |
| Emails per day | 300 (rolling 24 hours, counted per recipient) |
| Attachment size | 10 MB per file, 16 MB per message |
| Files per message | 10 |
| Links per message | 10 |
These keep your own email account in good standing — Gmail and most providers slow down or block accounts that send in bulk.
## Troubleshooting
### The send button is greyed out
Check that:
* At least one recipient is ticked and can receive the message
* The subject and message aren't empty
* There are no highlighted session fields on a message from the Clients page
* For a service message flagged as possibly promotional, you've ticked **This message has no promotional content** or switched to **Promotional message**
### "Messaging is paused on your account"
Messaging is paused automatically if many of your messages are rejected by email providers in a short time. Contact support to restore it.

# Message Templates
Source: https://help.trypawgress.com/guides/messaging/message-templates
Save the messages you send again and again — rain-outs, running late, what to bring, homework — and send them in two clicks
## Why Use Templates?
Most of what trainers email clients is the same few messages: *class moved because of the weather*, *running ten minutes late*, *bring a towel*, *here's this week's homework*. Templates let you write each one once, with the right fields and attachments, and reuse it whenever you need it.
Because templates use [fields](/guides/messaging/message-clients#personalize-with-fields), one template works for every client: `{first name}`, `{pet name}`, `{session time}`, and `{location}` fill in fresh each time you send.
## Creating a Template
There are two ways to create one.
### Save a message you've written
When you're writing a message you'll want again, click **Save as template** next to the message. The template editor opens with your subject, message, and attachments already filled in — give it a name and category, click **Save template**, and it's ready next time.
### Start from scratch
1. Open the message panel from **Sessions** or **Clients** (see [Message Your Clients](/guides/messaging/message-clients))
2. Click **Browse** next to the template picker
3. Click **New template**
4. Fill in:
* **Name** — what you'll see in the list, e.g. *Class rescheduled (weather)*
* **Category** — Schedule changes, What to bring, Homework, Welcome & admin, or Announcements
* **Subject** and **Message** — use **Insert** to add fields
* **Usually sent as** — Service or Promotional (see below)
* **Attachments** — files or links that should go out every time this template is used
5. Click **Save template**
**Attach the handout once**
A homework template with the worksheet PDF and the demo video link attached saves you hunting for files after every session. Template attachments are added automatically whenever you use it.
## Using a Template
In the message panel, click **Choose a template** to pick one quickly, or **Browse** to search the full list.
In the browser, templates are grouped by category. You can search by name or filter by category, and click any template to expand it and see the full subject, message, and attachments before you use it.

Click **Use template** to fill in the subject, message, attachments, and kind of message. You can still change anything before sending — your edits only affect this message, not the saved template.
### Badges in the list
| Badge | Meaning |
| - | - |
| **In use** | This template is the one filling your current message |
| **Needs a session** | It uses `{session time}` or `{location}`, so it only works when you message from the **Sessions** page |
| **Promotional** | It's set to send as a promotional message by default |
Each template also shows when you last used it, and a paperclip with the number of attachments it carries.
## Service or Promotional by Default
Each template has a **Usually sent as** setting:
* **Service message** — updates about existing clients, bookings, sessions, or training progress
* **Promotional message** — promoting classes, packages, special offers, or other services
This only pre-selects the kind of message when you use the template. You can still change it before sending. See [Service vs. Promotional Messages](/guides/messaging/promotional-messages) for how to decide.
## Editing and Deleting Templates
Open the template browser, expand the template, and click **Edit**. Change whatever you like and click **Save template**.
To delete a template, open it with **Edit**, click **Delete**, then **Confirm delete**. Messages you've already sent with it aren't affected.
## Template Ideas
A few templates trainers set up first:
| Name | Category | Uses |
| - | - | - |
| Class rescheduled (weather) | Schedule changes | `{first name}`, `{session time}`, `{location}` |
| Running late | Schedule changes | `{session time}` |
| New meeting spot | Schedule changes | `{session time}`, `{location}` |
| Bring a towel | What to bring | `{pet name}`, `{session time}` |
| Week 3 homework | Homework | `{pet name}` + worksheet PDF + video link |
| Welcome to training | Welcome & admin | `{first name}`, `{pet name}` |
| Fall classes are open | Announcements | `{first name}`, `{pet name}` — **promotional** |

# Service vs. Promotional Messages
Source: https://help.trypawgress.com/guides/messaging/promotional-messages
Which messages count as promotional, who can receive them, how to record a client's consent, and how unsubscribing works
## Two Kinds of Message
Every message you send from Pawgress is either a **service message** or a **promotional message**. You pick one in the **Kind of message** setting before sending.
| | Service message | Promotional message |
| - | - | - |
| **What it's for** | Updates about existing clients, bookings, sessions, or training progress | Promoting classes, packages, special offers, or other services |
| **Examples** | Class moved for rain · Running late · Bring a towel · This week's homework | New fall classes · A package discount · A workshop you're running |
| **Who receives it** | All your clients | Only clients who can receive promotions (see below) |
| **Unsubscribed clients** | Still receive it | Don't receive it |
Service is the default.
**If any part of it promotes something, it's promotional.**
A schedule change that ends with *"PS — fall classes are 10% off!"* is a promotional message. Sending it from a session card doesn't make it a service message.
**Why this matters**
Anti-spam laws — Canada's **CASL**, and similar rules in the US, UK, EU, and elsewhere — only allow commercial email to people who've agreed to it or have a qualifying relationship with you. Pawgress applies conservative rules so your promotional messages only reach clients you can show you're allowed to email. This guide isn't legal advice; check with a professional if you're unsure about your situation.

## The Promotional-Content Check
When you choose **Service message**, Pawgress scans your subject, message, links, and attachment names for things that often signal a promotion — prices, discounts (*20% off*, *early bird*), calls to buy (*sign up now*, *book your spot*), new offerings, or a link to a booking page or your website.
If something matches, you'll see which words triggered it and must either:
* switch to **Promotional message**, or
* tick **This message has no promotional content** to confirm it's a genuine service message
The check is a helpful nudge, not a decision. It can miss promotional content, and it can flag service messages that happen to use a trigger word — you decide which kind your message is.
## Who Can Receive Promotional Messages
A client can receive promotions when they **haven't unsubscribed**, and at least one of these is true:
| Basis | What counts | How long it lasts |
| - | - | - |
| **Consented** | The client agreed to receive promotional email — they opted in themselves, or you recorded their consent | No expiry |
| **Past purchase** | They paid you for a package (a positive amount, not fully refunded) | 24 months from the payment |
| **Service contract** | You've recorded a signed written agreement for your services | While ongoing, and 24 months after it ends |
These **don't** count on their own: attending sessions, an unpaid enrollment, an invite, or simply being in your client list.
### What happens when you send
When you pick **Promotional message**, clients who can't receive it are marked **Unsubscribed** or **No consent** in the To list, and the panel tells you how many won't get it — for example *"2 clients won't receive this — no consent for promotional email on record."* The send button shows the real count, like **Send to 4 of 6**. Everyone else gets the message as normal.
## Recording Consent on a Client
Each client's page has a **Promotional email** card on the **Overview** tab. It shows whether they **Can receive promotions**, on what basis, and until when, plus a full **History** of consent changes.

### Record consent
If a client told you they'd like your news and offers — in person, on a paper intake form, or by replying to an email:
1. Open the client and find the **Promotional email** card
2. Click **Record consent**
3. Choose **How** they gave it (In person, Paper form, Replied by email, Other), the **Date**, and describe the **Evidence**, e.g. *"Ticked the newsletter box on the intake sheet, kept in the binder"*
Only record consent the client actually gave, and describe where the evidence is so you can show it later if asked.
### Record a service contract
If the client signed a written training agreement:
1. Click **Record service contract**
2. Enter the **Start** date, and an **End** date or tick **Ongoing**
3. Optionally link the **Signed form** from their completed [client forms](/guides/getting-started/client-forms), and add a description
Promotions are allowed while the contract is ongoing and for 24 months after it ends. You can **Remove contract** later if it was recorded by mistake.
### Past purchases are automatic
You don't need to record purchases. When a client pays for a package — online or with **Mark as Paid** — Pawgress picks it up automatically and shows it as the basis, e.g. *"Puppy Foundations paid Sep 12, 2026."*
## Unsubscribing
### How clients unsubscribe
Every message you send includes an **unsubscribe link** in the footer. Clicking it stops **promotional** messages from you. Your client still receives service messages about sessions they've booked, such as schedule changes — the link says so.
Unsubscribing applies only to you. It doesn't affect other trainers or Pawgress's own emails.
### If a client asks you directly
If a client tells you they don't want promotions anymore, open their **Promotional email** card and click **Client asked to stop**, then **Unsubscribe them**.
**Only the client can opt back in.** Once someone has unsubscribed, you can't record new consent for them. They can opt back in themselves from their own account settings.
## What Clients See in Their Account
Clients with a Pawgress account see an **Emails from \[your business]** card in their account settings. It explains they'll always get messages about sessions they've booked, and has a checkbox: *"Send me news, new classes and offers from \[your business] by email."* Ticking it records their consent; unticking it unsubscribes them.
## Your Business Details in Every Email
Every message — service or promotional — ends with your business name, mailing address, and contact details, plus the unsubscribe link. Anti-spam law requires this identification, which is why Pawgress asks for your [business details](/guides/messaging/connect-email#adding-your-business-details) before your first message.

# Dashboard Overview
Source: https://help.trypawgress.com/guides/overview/dashboard-overview
Learn about the Pawgress dashboard and how to use it to manage your dog training business efficiently.
## Getting to know your dashboard
Your Pawgress dashboard is the command center for your dog training business. It provides at-a-glance information about your clients, pets, upcoming sessions, and business performance—all designed to help you stay organized and focused on what matters most.
The main dashboard gives you a comprehensive overview of your training business
## The Setup Guide
New accounts open with a **Set up your training business** card at the top of the dashboard. It's a short checklist — add your first client, add their dog, write a report — with a progress bar showing how far along you are. Most trainers finish it in under five minutes.
Dismiss it with the **X** in the corner once you're done. If you want it back, use the **Show setup guide** link in the dashboard header.
## Key Dashboard Elements
### Stats Overview
At the top of your dashboard, you'll find quick stats that give you an immediate snapshot of your business:
* **Total Clients:** The number of clients you're currently working with
* **Total Pets:** The number of pets you're currently training
* **Incomplete Reports:** Training reports you've started but not yet finalized
* **Monthly Revenue:** Your current month's earnings (Pro feature)
The stats cards provide a quick overview of your key business metrics
### Revenue Chart (Pro Feature)
For Pro users, the Revenue Chart provides a visual representation of your earnings over time:
* Track your revenue trends with an interactive chart
* Compare month-to-month earnings
* Identify seasonal patterns in your business
* Set and monitor income targets
The revenue chart helps you visualize your earnings over time
### Upcoming Sessions
Never miss an appointment with the Upcoming Sessions card:
* View your next scheduled training sessions
* See client names, locations, and session times at a glance
* Click "View" to access complete session details
* Prepare for your day with all relevant information in one place
The upcoming sessions card shows your next scheduled training appointments
### Recent Pets
The Recent Pets card helps you stay connected with your newest clients:
* See recently added pets with their basic information
* Quick access to pet profiles including name, breed, and age
* Owner information displayed for easy reference
* One-click access to detailed pet profiles via the "View" button
The recent pets card displays the newest additions to your client roster
### Incomplete Reports
Stay on top of your administrative tasks with the Incomplete Reports card:
* Track training reports that still need your attention
* See report titles and when they were started
* Click "Complete" to finish and submit pending reports
* Keep your documentation current and professional
The incomplete reports card reminds you of training documentation that needs to be completed
Learn more about creating and managing training reports in the [Training Reports guide](/guides/getting-started/training-reports).
**Client and Pet Context**
When you select a client and pet to work with, Pawgress remembers your selection throughout your session. If you attempt to view a different client or pet's information from your dashboard, you'll be asked to confirm the switch to maintain your workflow context.
## Pro Features vs. Standard
Your dashboard adapts based on your subscription level:
### Basic Plan
* Total Clients, Total Pets, and Incomplete Reports stats
* Recent pets overview
* Incomplete reports tracking
* The setup guide
### Pro Plan
Everything above, plus:
* **Monthly Revenue** stat
* **Revenue chart** with month-to-month trends
* **Upcoming Sessions** card
[Upgrade to Pro](/guides/overview/upgrade-to-pro) to unlock the revenue and scheduling views.
**Dashboard Layout**
The dashboard is responsive and will adjust to different screen sizes. On mobile devices, the cards will stack vertically for easy scrolling, while on larger screens, they'll arrange in a multi-column layout for better visibility of all your information at once.
## Next Steps
Now that you're familiar with your dashboard, you may want to explore:
* [Adding your first client](/guides/getting-started/add-client)
* [Sending client forms and waivers](/guides/getting-started/client-forms)
* [Creating training packages](/guides/getting-started/create-package)
* [Scheduling your first session](/guides/scheduling/schedule-session)

Pro is billed in **USD** or **CAD**. Pawgress guesses your currency from your browser timezone, and you can switch it manually on the [pricing page](https://trypawgress.com/pricing).
| Billing | USD | CAD |
| - | - | - |
| Monthly | \$29/month | \$39/month |
| Annually | \$19/month, billed \$228/year | \$26/month, billed \$312/year |
Choosing annual billing gives you **4 months free** compared to paying monthly.
The **Basic** plan is free forever, in either currency.
Your Pro subscription currency is separate from the currency you charge *your* clients in. That one is set per trainer under **Booking & billing** on your profile — see [Connect Your Stripe Account](/guides/integration/connect-stripe).
## How to Upgrade to Pro
### Step 1: Open your account settings
From the dashboard, click your avatar in the top-right corner and select **Account**. This opens your trainer profile and settings.

### Step 2: Go to the subscription page
Open the **Subscription** page from your account settings to see your plan and Pro options.

### Step 3: Review Pro Plan benefits
The subscription page shows what's included in Pawgress Pro along with the price in your currency, for both monthly and annual billing.
### Step 4: Choose your billing frequency
Decide whether you'd rather be billed monthly or annually once your trial ends:
* Toggle **Pay yearly (4 months free)** **ON** for annual billing
* Leave it **OFF** for monthly billing
You can change this later from the Stripe customer portal.
**Save with Annual Billing**
Annual billing works out to 8 months' worth of payments for 12 months of service — 4 months free. In USD that's \$228/year instead of \$348; in CAD, \$312/year instead of \$468.

### Step 5: Start your free trial
Click **Start Your Free 30-Day Trial**. You'll be redirected to Stripe's secure checkout page to enter your payment information.

**Important: No Immediate Charge**
Starting your trial does **not** charge your card. Stripe stores your payment method and only charges you when the 30-day trial ends. You can cancel any time during the trial at no cost.
The 30-day trial is offered to first-time subscribers. If you've subscribed to Pawgress before, the subscription page shows standard pricing without the trial banner.
### Step 6: Complete Stripe checkout
On the Stripe checkout page, enter:
1. **Email address** - Should match your Pawgress account email
2. **Card information** - Your payment card details
3. **Billing address** - Your billing address information
Review your details and click **Subscribe** to confirm and start your trial.

### Step 7: Trial confirmation
After checkout you're redirected back to Pawgress with Pro active. Your subscription page will show:
* **Trial Active** - Confirmation that your trial is running
* **Trial end date** - When regular billing begins
* **Billing interval** - Monthly or Yearly, whichever you picked
## What Happens After My Trial?
After your 30-day free trial ends:
1. Your payment method is charged automatically at your selected billing frequency
2. You keep uninterrupted access to all Pro features
3. You can cancel any time before the trial ends to avoid being charged
Pawgress notifies you before your trial ends so the charge isn't a surprise.
## Managing Your Subscription
Once your Pro trial is running, you have full control over your subscription:
* **Change billing frequency** - Switch between monthly and annual billing
* **Update payment method** - Change your payment card or billing address
* **Cancel subscription** - Cancel any time during or after your trial
For detailed instructions, see our [Subscription Management guide](/guides/billing/subscription-management).

# Handling Session Cancellations
Source: https://help.trypawgress.com/guides/scheduling/cancellations
Learn how to cancel training sessions in Pawgress
## Cancelling a Session
Sometimes training sessions need to be cancelled due to illness, emergencies, or scheduling conflicts. Pawgress makes it easy to cancel sessions and keep your training calendar up to date.
### Method 1: From the Sessions Page
1. Click **Sessions** in the main navigation
2. Find the session in the **Upcoming** segment
3. Click **Cancel** on the session
4. Confirm the cancellation in the dialog that appears
Click the "Cancel" button on the session card to cancel a session
### Method 2: From the Session Details Page
1. Click **Sessions** in the main navigation
2. Click the session to open it in the drawer
3. Click **Cancel Session**
4. Confirm the cancellation in the dialog that appears
Confirm the cancellation in the dialog to complete the process
**Important Notes**
* Cancelled sessions move to the **Cancelled** segment
* If the session was linked to a Google Calendar event, the event will be deleted
* If the session was a Zoom or Google Meet session, the meeting is cancelled
* The client will receive a notification about the cancellation
## Setting a Cancellation Policy
You can require clients to give notice before cancelling a session they booked themselves. Set this under **Booking & billing** on your [profile page](/guides/getting-started/setup-profile#booking--billing) — options run from "any time" up to one week's notice.
The policy applies to client-initiated cancellations through your [public booking links](/guides/scheduling/public-booking). It never restricts you: you can cancel any session at any time.
Set the notice period to match the policy you actually enforce. If you charge for cancellations inside 24 hours, setting 24 hours here means the system turns those clients away before they cancel, rather than leaving you to have the awkward conversation afterwards.
## After Cancelling
After cancelling a session, consider these follow-up actions:
* Reach out to the client directly to explain the cancellation if needed
* Offer to reschedule the session by creating a new session
* Ensure the client knows how many sessions remain in their package
Maintaining clear communication around cancellations helps preserve the client relationship and keeps your training business running smoothly.
# Following Up After a Consult
Source: https://help.trypawgress.com/guides/scheduling/consult-follow-up
Know who's coming and why, then send package details, check in, or close the loop with prospects who booked a free consultation
## Overview
When someone books a [free consultation](/guides/scheduling/public-booking#free-consultations), Pawgress adds them to your **Clients** list straight away. They have a client record from the moment they book. They just haven't set up their Pawgress account yet, so they appear in the **Invited** stage.
From that record you can:
| Action | What it's for | What gets sent |
| - | - | - |
| **Send package** | They want to go ahead | The package email: what they're enrolled in, your note, and a payment link if you take payments online |
| **Email** | A thank-you after the consult, or a check-in | A message from your own email address |
| **Resend invite** | Help them get into their Pawgress account | A new link to set up their account |
| **Remove** | They're not going ahead | Nothing |
Nothing is sent automatically. You decide when to follow up, and what to send.
## Before the Consult: Who's Coming and Why
Consultation booking pages ask for two things besides contact details:
* **Dog's name**
* **What would you like help with?** For example, the dog's age, breed, and any behaviours or challenges they'd like to work on
Both are required by default, and the prospect can still add notes under **Anything else?**
You'll see their answers in three places:
* **Your calendar event**, titled `Consult: Jamie Smith (Biscuit)`, with the reason and their contact details in the description
* **Your "New consultation booked" email**
* **The session** on your Sessions page
The calendar event is shared with the prospect, since they're invited to it. The description only contains their own details and the meeting information, never your notes.
### Changing the question
Open your consultation package and find **Ask for Their Dog's Name and Reason**:
* Turn it **off** to make both fields optional
* Use **Hint for prospects** to replace the example under "What would you like help with?" with your own wording
## After the Consult
Open the prospect from the **Clients** page. Their row reads **Booked a consult 3d ago**, followed by whether they've opened their setup email. Click the row to open **View invite**, and use the **Follow up** section.
### They want to go ahead: Send package
**Send package** opens the enrollment window on their client page. Pick the package, add a note if you like ("Welcome to Fit Fido — here's everything for your first month"), and create the enrollment.
They get an email with the package details, your note and, if you take payments online, a **Pay now** button. They don't need to set up their account first. See [Enrolling a Client](/guides/getting-started/enroll-client) and [Collecting Payment](/guides/billing/collect-payment).
If they've already been enrolled, the Follow up section shows that enrollment instead, so you don't send a second one.
### A thank-you or a check-in: Email
**Email** opens the message composer for that one person. Under **Templates → Suggested** you'll find two starting points:
* **Thanks for the consult**: thanks them for their time, and says their package details will follow if they decide to go ahead
* **Checking in**: a low-pressure note for someone who's gone quiet: if now isn't the right time, that's fine, and you won't keep following up
Edit either one before sending, or click **Save as template** to keep your version. Both are **service** messages, so they don't need promotional consent. See [Service vs. Promotional Messages](/guides/messaging/promotional-messages).
Emailing a client needs [a connected email account](/guides/messaging/connect-email).
### They're not going ahead: Remove
When you're done following up, use **Remove** in the View invite window, or at the bottom of their client page. Removing a prospect:
* Takes them off your client list **right away**
* **Sends them nothing.** Pawgress doesn't email them about it. If they still have an upcoming session booked, that session is cancelled, and their calendar sends them a cancellation for it.
* Stops their setup link from working
* **Deletes nothing.** If they come back later, add them again and your notes return
You don't need them to reply before you remove them.
## Next Steps
* [Public booking links](/guides/scheduling/public-booking): share your consultation
* [Message your clients](/guides/messaging/message-clients): more on the composer
* [Message templates](/guides/messaging/message-templates): save your own follow-ups
# Public Booking Links
Source: https://help.trypawgress.com/guides/scheduling/public-booking
Share a link that lets clients and prospects book a package or a free consultation themselves
## Overview
Every package can have a **public booking link** — a page anyone can open, pick a time from your real availability, and book. No Pawgress account required on their end.
This is the difference between "email me and we'll find a time" and a prospect booking themselves at 11pm on a Sunday.
**Pro Feature**
Public booking requires a Pawgress Pro subscription, along with an [availability schedule](/guides/scheduling/set-availability) linked to the package.
## Turning On Public Booking
1. Open **Packages** and select the package you want to share
2. Enable **public scheduling** for that package
3. Optionally set a **booking slug** — a friendly URL fragment like `puppy-training-jan-2025` instead of a long ID
4. Save
The package view then shows the **Public Booking Link** card with the full URL, a copy button, and an option to open it in a new tab.
Your link looks like:
```
https://trypawgress.com/packages/puppy-training-jan-2025/book
```
## What Visitors See
The booking page shows your package — name, description, photo, duration, price, and whether it's in-person or virtual — alongside your trainer profile: your photo, biography, specialties, certifications, and years of experience.
If you've set up [custom branding](/guides/getting-started/setup-profile#branding), the page carries your logo, brand colour, and business name instead of Pawgress branding.
Visitors then:
1. Pick an available date and time — drawn from the availability schedule linked to the package, with your buffer times and existing bookings already excluded
2. Enter their first name, last name, and email
3. For a consultation, tell you their **dog's name** and **what they'd like help with**
4. Add any other notes or requests
5. Submit
## Free Consultations
Alongside regular packages, you can create a package of the **consultation** kind: a free, single-session offering built for prospect intake.
Consultations differ from paid packages in three ways:
* They're always **one session** and always **free**
* They **bypass Stripe entirely** — there's no checkout step
* They're **confirmed immediately** on booking, rather than sent to you as a request
The booking page marks them with a **Free Consultation** badge, and the prospect gets a confirmation email straight away.
Consultation bookings ask for the prospect's dog's name and what they'd like help with, so you know who's coming and why before the call. You can make those fields optional, or change the hint, on the consultation package. See [Following Up After a Consult](/guides/scheduling/consult-follow-up).
**Lead with a free consultation**
A 20-minute free consultation with a public booking link is the single most effective way to turn website traffic into clients. Put the link in your Instagram bio, your Google Business profile, and your website's call-to-action button — then let people book themselves.
## After a Booking
Bookings appear in your **Sessions** page like any other session. Someone who books a consultation is added to your **Clients** list straight away. From there you can send them package details, email them, or remove them; see [Following Up After a Consult](/guides/scheduling/consult-follow-up).
For paid packages, use the enrollment's payment link to collect payment — see [Collecting Payment for Enrollments](/guides/billing/collect-payment).
## Where to Share Your Link
* Your website's "Book now" button
* Your Instagram or Facebook bio
* Your Google Business profile
* Your email signature
* The end of a [training report](/guides/getting-started/training-reports), for renewals
## Troubleshooting
### No times are showing
The booking page only offers slots from the availability schedule linked to that package. Check that the package has an availability schedule selected, that the schedule has open hours, and that a [date override](/guides/scheduling/set-availability#managing-date-overrides) hasn't blocked out the period you're looking at.
### The link 404s
Confirm public scheduling is enabled on the package and that the package is **active**. If you changed the booking slug, the old URL stops working — reshare the new one.
## Next Steps
* [Set your availability](/guides/scheduling/set-availability) so there are times to book
* [Add your branding](/guides/getting-started/setup-profile) so the page looks like your business
* [Connect Stripe](/guides/integration/connect-stripe) to collect payment for paid packages

* **List and Week views** — toggle in the top right to switch between a filterable list and a weekly calendar
* **Upcoming, Past, and Cancelled segments** — each showing a live count
* **A client filter** — narrow the list to a single client
* **New session** — opens the scheduling drawer
## Creating a New Session
Click **New session** to open the scheduling drawer. It walks you through four short sections.
Click "New session" to open the scheduling drawer
### Who
Search for and select the client this session is for. Start typing a name to filter your client list.
### Package
Once you pick a client, the drawer lists that client's **active enrollments** — not your full package list. Each one shows how many sessions have been used out of the total, so you can see at a glance what's left.
Select the enrollment this session should count against. The package's session duration and default location fill in automatically.
If a client has no enrollments, you'll need to [enroll them in a package](/guides/getting-started/enroll-client) before you can schedule a session for them.
### When
Choose between **One session** and **Multiple**:
* **One session** — pick a single date on the mini calendar
* **Multiple** — tap every date you want. One session is created per date, all at the same time of day.
Then set the start time. The duration comes from the package and is shown next to the time picker.
**Repeat weekly**
After picking a first date, use **Repeat weekly for the rest of the package** to fill in the remaining sessions at weekly intervals in one click — ideal for a 6-week program.
Pick one date or many, then set the start time
#### Conflict detection
Pawgress checks each date you pick against your existing sessions. If one overlaps, the drawer flags it with **"Overlaps another session at …"** and offers the next free time as a one-tap suggestion.
You can't save until every conflict is resolved, so double-booking is caught before it happens.
If you select more dates than the enrollment has sessions remaining, Pawgress warns you that the extras will need a renewal or a new package. You can still proceed.
### Where
Choose the session format:
* **In-person** — always available; set the location below
* **Zoom** — creates a Zoom meeting automatically ([connect Zoom first](/guides/integration/zoom))
* **Google Meet** — creates a Meet link automatically ([connect Google first](/guides/integration/google-meet))
Formats you haven't connected are greyed out. If your Zoom connection has expired, the drawer tells you and offers to reconnect.
For in-person sessions, the **Location** field pre-fills from the package and can be edited per session (e.g. "Client's home — 123 Main St").
### Notes
Add anything you want to remember for this session — "Bring clicker and treats", "Focus on leash reactivity". Notes are for you.
## Finalizing the Session
Review the details and save. Sessions appear immediately in your **Upcoming** segment, and your client sees them in their portal.
**Calendar Integration**
If you've connected Google Calendar and selected a calendar on the package, sessions are added to that calendar automatically. See the [Google Calendar guide](/guides/integration/google-calendar).
## Managing Your Sessions
### Segments
The Sessions page splits your work into three segments:
* **Upcoming** — scheduled future sessions, earliest first
* **Past** — completed sessions and any scheduled sessions whose time has passed
* **Cancelled** — sessions you've cancelled
Switch between Upcoming, Past, and Cancelled sessions
### Session Cards
Each session shows the client and pet, package, date and time, location, a **Virtual** badge for Zoom and Meet sessions, and its status.
Click a session to open it in the drawer, where you can change any detail or cancel it. In Week view, completed sessions are shown solid.
Session cards display all the essential information about each appointment
## After the Session
When a session is done, click **Complete** on the session and confirm. Completing a session:
* Moves it to your **Past** segment
* Counts it against the client's enrollment, updating the remaining sessions
To cancel instead, see [Handling Session Cancellations](/guides/scheduling/cancellations).
## Next Steps
* [Set up your availability](/guides/scheduling/set-availability) so clients can book themselves
* [Share a public booking link](/guides/scheduling/public-booking) for a package
* [Create a training report](/guides/getting-started/training-reports) documenting the session
* [Connect Google Calendar](/guides/integration/google-calendar) to keep your schedule in sync

Learn how to create and manage availability schedules for your training sessions
## Understanding Availability Schedules
Setting up your availability schedules is a crucial step for managing your dog training business efficiently. Availability schedules define when you're available to conduct different types of training sessions and allow clients to book sessions during these times. In Pawgress, you can create multiple availability schedules to accommodate different training formats.
The Availability Schedules page is where you manage your weekly schedules and exceptions
**Pro Feature**
Availability management is a Pro feature in Pawgress. This feature allows you to:
* Create different schedules for different types of training
* Specify your available hours for each day of the week
* Set date-specific overrides for vacations or special events
* Link schedules to specific training packages
## Creating Your First Availability Schedule
### Step 1: Navigate to the Availability Page
Click **Availabilities** in the main navigation to reach the availability schedules overview page.
### Step 2: Create a New Schedule
Click the "New Schedule" button in the top right corner of the page. This will take you to the schedule creation form.
Click the "New Schedule" button to create a new availability schedule
## Configuring Basic Information
### Schedule Name
First, give your schedule a descriptive name that indicates its purpose:
* **Specific:** Use names like "One-on-One Training Hours" or "Puppy Class Schedule" rather than generic names like "My Schedule"
* **Clear:** The name should instantly tell you what type of training this schedule is for
* **Consistent:** Establish a naming convention that works for all your schedules
### Timezone Setting
Select the timezone that applies to your schedule. This is especially important if:
* You work with clients in different timezones
* You travel regularly and train in different locations
* Your local area observes daylight saving time changes
Pawgress will automatically handle timezone conversions for your clients, ensuring that session times are displayed correctly for everyone.
Enter a descriptive name and select your timezone
## Setting Weekly Hours
The weekly schedule is the foundation of your availability. For each day of the week, you can:
* Mark the day as available or unavailable by toggling the switch
* Set specific start and end times for when you're available on that day
Configure your availability for each day of the week
### Daily Availability
For each day, consider these factors when setting your hours:
1. **Buffer Time:** Allow for breaks between sessions by setting slightly shorter hours than your actual workday
2. **Travel Time:** If you travel to clients, factor in travel time when setting your availability
3. **Preparation:** Include time for session preparation and follow-up
Remember, you can always create different schedules for different types of training. For example, you might have more limited hours for in-home training but extended hours for virtual consultations.
**Pro Tip: Different Schedules for Different Services**
Consider creating separate availability schedules for different training formats:
* One schedule for one-on-one in-person training
* Another for group classes
* A third for virtual consultations
This lets you manage your time more efficiently and link each schedule to the appropriate training packages.
## Saving and Using Your Schedule
### Saving the Schedule
Once you've configured your weekly availability:
1. Review all settings to ensure accuracy
2. Click the "Save Changes" button at the top right of the page
3. Your new schedule will be saved and added to your list of availability schedules

## Managing Date Overrides
Your regular weekly schedule is a great starting point, but life happens! Date overrides allow you to specify exceptions to your regular schedule for specific dates.
### When to Use Overrides
Date overrides are perfect for handling:
* Vacations and time off
* Holidays and special events
* Professional development days
* Temporary schedule changes
* Dates when you're already fully booked
### Adding an Override
To set a date override:
1. Navigate to your availability schedule detail page
2. Find the "Date Overrides" section
3. Click the "Add Override" button
4. In the dialog, select the date(s) you want to override
5. Choose "Unavailable for entire day" or specify unavailable hours
6. Click "Add Override" to save
Add date overrides for vacations, holidays, or other special circumstances
### Managing Existing Overrides
You can view and manage all your date overrides in the "Date Overrides" section of your availability schedule page:
* View all your scheduled overrides
* Delete overrides that are no longer needed
* Add new overrides as your schedule changes
Regularly reviewing and updating your overrides helps ensure your availability is always current and prevents scheduling conflicts.
View and manage your date overrides from the availability detail page
**Planning Ahead**
Set up overrides well in advance for known time off and holidays. This prevents clients from booking sessions during times you know you'll be unavailable and saves you from having to reschedule or cancel sessions later.
## Next Steps
Now that you've set up your availability schedules, you're ready to:
* [Create or update training packages](/guides/getting-started/create-package) connected to your availability schedules
* [Schedule sessions](/guides/scheduling/schedule-session) during your available times
* [Set up Google Calendar integration](/guides/integration/google-calendar) to sync your Pawgress schedule with your personal calendar
By carefully managing your availability, you can optimize your schedule, reduce scheduling conflicts, and create a better experience for both you and your clients.
